How to Automate Client Scheduling in 5 Minutes a Day

For many coaches, tutors, personal trainers and other service providers, scheduling clients can become a daily headache.

1. Set your availability once

Clients can then see your available times and choose one that works for them.

“Are you free Tuesday?”

“What about Wednesday?”

3. Take payment during booking

If you accept payments online, let clients pay when they book.

This means you don't have to separately send payment details or remember who has paid.

4. Use automatic reminders

Once someone has booked, the system should handle the reminders for you.

An automatic SMS or email before the appointment can remind clients about:

  • Date and time
  • Location
  • Service details
  • Any other information they need

You shouldn't need to manually remind every client about their appointment.

5. Spend five minutes checking your day

Once your booking system is doing the repetitive work, your daily scheduling routine becomes much simpler.

Spend a few minutes checking your calendar each morning:

  • 1 minute: Check today's appointments.
  • 1 minute: Check for cancellations or changes.
  • 1 minute: Review new bookings.
  • 1 minute: Check payments.
  • 1 minute: Respond to anything that actually needs your attention.

That's it.

Instead of spending your morning organising appointments, you can spend it doing the work your clients are actually paying you for.
